Overview
These systems were designed and developed for the 1996 Nike
Knoxville Open with the intent of coming up with systems that
would be available for all tournaments to use as a turnkey
solution. I worked very closely with Sandy Hull, Ernie Brooks,
and Sterling Owen of the Knoxville tournament, and these systems
were used extensively during their June 10-16, 1996 tournament.
Based upon our experiences, I'm planning for a second version
which will result in easy to use solutions which will help you
run your tournament more effectively and efficiently.
Features of the
Volunteer scheduling system
- Maintains personal data for each volunteer (name,
address, phones, etc.)
- Allows use of historical data for names and addresses
- Maintains administrative data for each volunteer (group,
payment status, shirt size, etc.)
- Maintains availability data for each volunteer (days,
times, desired tasks)
- Customizable setup of tasks, times, locations, and
quantities.
- Automatically generates schedules based on desired task,
priority code, and days available
- Allows easy modification of schedules - will not allow
scheduling conflicts.
- Produces tasks schedules, daily check-in lists,
assignment letters, name tags, mailing labels, and phone
lists.
- Network capable - check-in status appears on schedules in
real-time.
- Utilizes standard database system for easy customization.
Features of the
ProAM scheduling system
- Maintains personal data for each participant (name,
address, phones, etc.)
- Allows use of historical data for names and addresses
- Maintains administrative data for each participant
(sponsor, handicap, sizes, etc.)
- Allows pairing of participants into two player teams.
- Automatically combines two-player teams into groups based
on handicaps.
- Allows easy modification of pairings and tee times.
- Maintains the ProAM schedule, including tee times,
pairings, pro assignments, and handicaps.
- Generates schedule, schedule letters, golf bag tags, item
bag tags, and mailing labels.
- Utilizes standard database system for easy customization.

Management Samples
- Address Screen - Initial data entry of address and phone
number, supports the use of information from previous
years
- Administrative Screen - Year specific data regarding shirt sizes and
payment status
- Availability Screen - Screen where the volunteer's availability and
desired task(s) are specified.
- 4-Day Schedule - dots at the left of names indicate that the
individual had checked in that day. The times and tee #'s
on the left and right allowed for the differences before
and after the cut, and allowed the "priority"
volunteers to have the more desirable times.
- Setup Screen - The system allows the types, times, and
numbers of tasks to be customized. Once the tasks are
defined and the volunteers entered, the system can
automatically create the schedules.
- Daily Check-In - Used to check the individuals in. Allowed the
schedules to reflect in real time who was there.
ProAm Management
Samples
- Data Entry
- Very similar to volunteer data entry, except all
information is entered on a single screen.
- Schedule Screen - Shows the schedule and allows players, teams,
or groups to be easily modified and moved.
- Player Listing - Alphabetical list summary of all ProAm
participants, including tee times and pro assignment.
- Golf Bag Tags - Placed on bag tags to assist in the logistics
of getting the right bags on the right cart at the right
time.

Pricing
Preliminary pricing for these systems is set at $999 for the
volunteer scheduling package and $499 for the ProAM package. This
price will include phone support and software updates for one
year. Continued support and updates will be available for 20% of
the list price of the software per year. Quotes for customization
and on-site setup pricing are available upon request.
